Privacy and cookies
Koalake is made by Koalitix Technology B.V. This statement explains what this website collects when you visit it, contact us, start a trial or order, and what you can ask of us.
In short
- We collect what you send us, and what we need to run and protect the site.
- We count visits without cookies, on our own server in the EU. With your consent we also use analytics cookies and, if you then sign up or order, link your visits to your account.
- We don’t sell your data and don’t use it for advertising.
- Email privacy@koalake.com to see, correct or delete your data.

What we collect and why
When you contact us
- What
- Your name, email, company and phone number if you give them, your message, and the IP address it came from.
- Why
- To answer you. The IP address helps us stop abuse of the form.
- Legal basis
- Our legitimate interest in answering questions, or steps you ask for before a contract.
- How long
- Two years after you contacted us.
When you order
- What
- The plan and number of users, your name, work email, company and phone number, the billing address and VAT number, and what you tell us about your data and start date. If you accepted analytics: your visit’s analytics ID.
- Why
- To handle your order, set up the contract and send invoices. We confirm your email with a code before we accept the order.
- Legal basis
- The contract with you, and our legal duty to keep financial records.
- How long
- Seven years for contracts and invoices, as Dutch tax law requires. Orders that don’t go ahead: two years.
When you start a trial
- What
- Your work email, your name, your workspace’s name and the IP address your request came from; if you accepted analytics, your visit’s analytics ID. We email you a code and a link to confirm your address.
- Why
- To set up your trial workspace by hand and reach you about it.
- Legal basis
- Providing the trial you asked for.
- How long
- Your request: two years. Your trial or account details: until twelve months after it ends. A signup that isn’t finished: twelve months.
When you log in
- What
- The workspace name you type, and your IP address to limit how often it can be tried.
- Why
- To send you to your workspace’s own sign-in page, and to stop anyone from testing names in bulk.
- Legal basis
- Our legitimate interest in a working and secure login.
- How long
- Not stored. The count per IP address is gone after a minute.
When you visit the site
- What
- Our server logs each request: your IP address, the page, the time and your browser. The forms’ spam check runs in your browser and sets no cookie.
- Why
- To run the site, find faults and fend off attacks.
- Legal basis
- Our legitimate interest in a working and secure website.
- How long
- Thirty days.
Counting visits, without cookies
- What
- The pages you visit, for how long, what you click and where you came from; your browser, device and a shortened IP address. No cookies are set on your device.
- Why
- To know how many people visit, and which pages help them and which don’t. We use Matomo on our own server; nobody else receives this data.
- Legal basis
- Our legitimate interest in a website that works for its visitors. This counting has little impact on your privacy, which is why it doesn’t need your consent.
- How long
- Visit records for 25 months. After that we keep only totals that can’t be traced to you.
Analytics cookies, if you accept them
- What
- On top of the counting: a visitor ID in a cookie that recognises your browser on a next visit. After a signup or order: a code from your email that can’t be turned back into it.
- Why
- To see how visits come back and lead to a trial or an order, and to link them to how you then use Koalake.
- Legal basis
- Your consent, which you can withdraw at any time.
- How long
- Visit records for 25 months. After that we keep only totals that can’t be traced to you.
Data in your workspace
The data you connect to Koalake in your workspace is processed under your agreement with us and our data processing agreement, not under this statement. How Koalake keeps it secure is on our security page.
Who helps us
These companies process data for us under a data processing agreement. They may use it only to do this work.

For a Dutch address on the order form, our server asks PDOK, the Dutch government’s public address service, which street and city go with your postal code and house number. PDOK gets those two values and nothing else.
We keep your data in the European Economic Area. Microsoft is a US company; if it accesses data from outside the EEA, for support or security, the EU-US Data Privacy Framework and the EU’s standard contractual clauses protect it.
We don’t sell your data, share it with advertisers or use it to make automated decisions about you.
Cookies
Cookies are small files your browser keeps for a site. We set the essential ones on every visit; the analytics ones only after you choose Accept in our cookie notice.

This clears your choice and our analytics cookies, and asks you again.
Your rights
You can ask us to show you the personal data we hold about you, correct it, delete it, limit how we use it, or send it to you in a usable format. You can also object to how we use it, and withdraw your consent.
Email privacy@koalake.com. We answer within one month, and may ask you to confirm who you are first.
Not happy with our answer? You can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.
How we protect it
Everything between your browser and our site is encrypted (HTTPS). Only the people at Koalitix who need it can see what you send us, and we delete it when the retention time expires.
Changes to this statement
We keep this statement up to date, and the date at the top shows its latest version. Before a significant change, such as a new purpose for your data, we email the customers and trial users it affects.
